Privacy policy.

This policy explains what information RUDQP (Rudraksha Chawla) collects when you use this website or book a shoot, and how it is used and protected.

What I collect

When you book, enquire or open the pricing page, I collect the details you provide: your name, email, mobile number, preferred dates, location and the message you send. I only ask for what is needed to quote and run your shoot. A postal address is only needed for the shoot location, for mailing prints or products you order, or for billing. When you verify your email, it is used to send a one time code. On the pricing page I also keep a note of the shoot and add-ons you priced, so a quote can be shaped around what you actually looked at.

How I use it

Your information is used to respond to you, plan and deliver your shoot, work out travel for your location, send your photos and anything you order by mail, send invoices, and keep a record of our work together. With your agreement in the terms, your first name, city, type of shoot, feedback and session photos may also be used to promote RUDQP, including in ads. If you tick the optional box, I may also send you offers and news by email or mail, and you can opt out at any time. I do not sell your information to anyone.

Verification and messaging

The one time code is sent by email purely to confirm it is really you. Codes expire quickly and are not used for marketing. If you register through the contact form and do not get in touch, you may receive one reminder email about a day later, and never more than that. Every such email carries a one click unsubscribe link, and your choice is kept on file.

Storage and security

Your details are stored in my client records, and your finished photos are delivered from my own private server rather than a public third party. Access is limited to me.

Cookies and analytics

The site works without any optional cookies. A small first-party counter records page views with no cookies and no personal details, so I know which pages are read. Your light or dark theme choice and your cookie choice are remembered in your own browser.

Only if you press Accept on the cookie notice, two outside tools are switched on: Google Analytics (visit statistics, with IP addresses shortened) and Microsoft Clarity (anonymised recordings of clicks and scrolling, with typed text masked, so I can see where a page confuses people). With your OK the site also remembers for up to 90 days how you first found it, for example Instagram or a Google search, and attaches that to an enquiry you send. If you decline, none of this loads, and the source of your visit is kept only until you close the tab. Browsers that send a Global Privacy Control signal are treated as a decline automatically.

You can change your mind at any time: open cookie settings. Fonts are loaded from Google Fonts, which means Google sees the request for the font file, as it would for any site using them.

Sharing

I share information only with the services needed to run the studio, and they process it on my behalf and nothing more: Zoho Mail (email), WhatsApp (only if you choose to message me there), Google Analytics and Microsoft Clarity (only with your OK, as above), the cloud server that hosts this site and my booking system, payment providers, and a print lab or Canada Post when something is mailed to you. Your postal address is never shared with other businesses for their own marketing. Some of these providers store data outside Canada. If you agreed to advertising use, your email or phone may be shared with Meta or Google in encrypted (hashed) form so they can show or skip ads for existing clients. I never sell or rent your information, and no advertising cookies run on this site.

Your choices

You can ask to see, correct or delete the information I hold about you at any time, and you can withdraw consent to being contacted.

Ask me to delete your data

Email [email protected] with the subject "Data request" from the address you used with me. I will confirm it is you, act on it, and reply within 30 days, at no cost. Deleting removes your contact details, messages and gallery from my records. The only things I must keep are invoices and payment records, which Canadian tax law requires me to hold for six years.

Spam and bot protection

To keep automated bots out of the booking and registration forms, your browser solves a small maths puzzle in the background before a form is sent, and each form has a hidden field that only bots fill in. This uses no cookies and no outside captcha service, and nothing about you is collected for it beyond the standard connection details (IP address) that are checked briefly to limit repeated attempts and then discarded.

Your rights under Canadian privacy law

RUDQP follows the ten fair information principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA): I tell you why I collect information, ask for your consent, collect only what is needed, keep it only as long as needed, keep it accurate and secure, and let you see and correct it. If you live in Quebec, you also have the rights given by Quebec's Act respecting the protection of personal information in the private sector, including the right to have your information moved to you in a usable format. You can withdraw consent at any time, though some services, such as running a shoot you booked, need your contact details.

If there is ever a breach of security that creates a real risk of significant harm to you, I will tell you and the Privacy Commissioner of Canada as the law requires. I keep a record of when and how you agreed to the terms and to marketing messages, as Canadian law requires.

How long I keep it

An enquiry that does not become a booking is only eligible for a follow-up for six months, and client details for two years after our last shoot, in line with Canada's anti-spam law (CASL). Unsubscribe requests are kept permanently so that I never email you again by mistake. Online galleries stay up for the period agreed for your shoot.

Age

This website and its booking forms are meant for adults aged 18 and over. I do not knowingly collect information from children through the site. When a shoot includes anyone under 18, a parent or legal guardian makes the booking and gives consent for them. If you think a minor has sent me their details, tell me and I will delete them.
